The club timetable problem

Most booking tools don’t understand a club night

Your capacity is the mat you lay out, not the hall you hire. Software that counts heads or room size will sell places you cannot safely train, and you find out at seven o'clock.

The mat decides the number, not the hall

You hire a sports hall that seats eighty and lay out enough mat for twenty-four. Twenty-four is the real limit, and on a night you put down fewer mats it is lower still. Most booking tools hand you one capacity box per venue and expect it to hold, so you either turn people away at the door or train on a floor that is too full to be safe.

Nobody steps on the mat without a waiver

A health declaration and a signed waiver before the first session is not a nicety in a contact sport, it is what your insurance expects. Collecting them on paper at the door means a folder you have to keep, and chasing the ones who forgot. Collecting them properly means the form is done before anybody arrives.

Blocks, monthly fees and drop-ins at once

A beginners course sold as six sessions, monthly training fees for the regulars, and a drop-in rate for someone visiting from another club. Three ways of paying for the same mat on the same night. Why we built it

We could not find software that fit, so we built it

We started reservie in 2015 because the booking software we could find did not fit the way classes actually run. It was either too basic to hold a proper timetable, or it buried a simple job under features and fees designed for a gym chain. So we built the thing we wanted.

The part that matters for a club is that capacity is something you set per class, not per venue. Cap a session to the mat you can safely lay out and it holds, however big the hall is. And when you email us, you reach a person who knows the system rather than a call centre.

How clients book

You get a booking page of your own at yourname.reservie.net, showing your classes and courses with the places left on each. Members pick a session, pay, and are on the list.

If you have a website, the timetable can sit inside it, so nobody is sent somewhere else mid-booking. WordPress, Wix, Squarespace and Showit all work, and we will put it in place for you if that part makes you nervous. Card payments run through Stripe, Apple Pay and Google Pay are there at checkout, and the money lands in your own account.

Stripe’s card-processing charge is separate and goes to Stripe rather than to us. On an £18 class booked on Starter, our fee is 36p. There is no contract, no setup fee and no charge for the first 30 days. The pricing page sets out every plan in full.

Worth knowing

Built for adult classes

reservie works on the basis that the person booking is the person training: they hold the account, they pay, and they sign the waiver. That fits adult classes well. It does not yet fit a club whose register is mostly under-16s, because a child cannot be held as a named attendee under a parent’s account. If your juniors programme is the bigger half of your club, we would rather tell you now than after you have moved everything across.

Martial arts booking system FAQs

Can I cap a class to the number I can safely put on the mat?

Yes. Set the capacity on the class to the number you can train safely and reservie will not book past it, whatever the hall holds. If you have less space one week you can change the number for that session without touching the rest of the timetable.

Can people sign a waiver or health declaration before they train?

Yes. Attach a questionnaire to your timetable and it has to be completed before payment goes through, so nobody arrives without one. Each person completes it themselves, which is the point: the declaration belongs to the person who will be on the mat.

Can parents book classes for their children?

Not in the way a children’s club needs, and it is better to say so plainly. reservie is built around each person having their own account, where the same person books, pays and attends. That suits adult classes well. It does not yet suit a club whose register is full of under-16s, because there is no way to hold a child as a named attendee under a parent’s account, and attaching a waiver switches off booking on behalf of anyone else. If your club is mainly juniors, this is not the right system for you today.

Can I sell a beginners course as a block rather than session by session?

Yes. A six-week beginners course can be sold as one purchase with a start date, so somebody joins the course rather than booking six separate evenings. You can run drop-in classes and monthly training fees alongside it.

How do I take payment for a grading?

A grading is set up as its own event with its own date and fee, separate from the weekly timetable. Only the people you want entered book it, and you get a list of who has paid without running a spreadsheet beside your timetable.

How much does a martial arts booking system cost?

reservie starts at £3 a month on the Starter plan, with a 2% transaction fee and a 28p minimum. Growth is £15 a month with a 1.5% fee, and Pro is £59 a month with no transaction fee. Stripe’s card-processing charge is separate and goes to Stripe. There is a 30-day free trial and no contract.

Is there a free martial arts booking system?

reservie is free for 30 days, with every feature included and no card needed to start. After that it is £3 a month. There is no free-forever tier, because a system that takes your members’ money needs looking after. Hosting, card security and a real person answering support emails all cost something, and £3 a month is what that comes to.

Is there a contract?

No. Plans are monthly and you can stop whenever you like. The first 30 days are free, and there is nothing to sign.

Is this a gym membership platform?

No. There are no door entry systems, no lockers and no twelve-month contracts to administer. reservie sells places in classes, blocks of sessions and time with a coach, which is a different job from running a gym.

Is it hard to move over from what I use now?

No. We help you get your classes, blocks and member list set up rather than leaving you to work it out alone. Most clubs are running well within the free trial.
